Job Purpose:

The Management Support Specialist (MSS) role is responsible for providing administration and support services to members of the Gatwick Leadership Team and Unit. 

Principal Accountabilities:

  • To provide personal business support with discretion and confidentiality for allocated Senior members, enabling Gatwick to work efficiently and effectively.

The scope of support will be agreed with each SLT member depending on their requirements but may include: 

  • Diary management – aid with organisation of meetings, booking facilities and prioritising appropriately. This requires proactive management of the SLT’s diaries, including making diary decisions and, if appropriate, taking remedial action to ensure the success of the activities, e.g. by re-arranging meetings, in the absence of the GM or key attendees. 
  • Travel management – making business travel and accommodation arrangements that are compliant with budget and governance arrangements, with consideration of cost-effective solutions.
  • Records must be accurately maintained in support of external and internal audit. 
  • Managing email - including responsibility for managing priority of requests and responding to emails and correspondence on behalf of the Leadership Team, and by exception of other senior staff. 
  • Produce slide decks, take minutes and actions for key formal meetings and tracking those actions using tools available to do this efficiently. 
  • These services will be provided primarily for the SLT but may also be provided to the LT’s an ad hoc basis, and exceptionally for other members of their team. 
  • In addition, the role provides the following administration activities: 
  • Coordination of visitors to the NATS site to ensure that the visits are appropriately hosted by a member of the wider business, planned, de-conflicted and communicated in a timely manner. Applying for passes as an Authorised Signatory 
  • Arranging large events or meetings, including locating and booking external venues where required. 
  • Support procurement activities through raising purchase requisitions, making transactions using a corporate card, and receipting. Report any journals/accruals required to the Management Accountant. 
  • Support for document creation, management and control, primarily using the Microsoft Office toolset. 
  • Act as the Point of Contact for Drugs and Alcohol random testing at the Centres, ensuring that the process is effectively managed in accordance with the Company’s Drugs and Alcohol policy. 
  • Act as the Security Liaison Officer (SLO) and Quality Focal Point (QFP) for the unit. 
  • Produce base rosters for the unit and liaise with Head of ATC Ops and Unit Training Manager to allocate overtime and training lines. 
  • Collate and submit data for payroll
  • Maintain SAP records for Sickness and TOIL 
  • Undertake other routine and ad hoc general office management and business support activities as required. 

Qualifications, Experience, Skills and Personal Qualities:

  • Experience in an administrative of support role is required, preferably with experience in supporting teams that work across multiple locations. 
  • An excellent standard or IT skills is required, including the Microsoft Office suite, Teams, SharePoint and NIBS. 
  • Self-motivated team player capable of working effectively minimum supervision using own initiative, able to prioritise activities and excellent attention to detail. 
  • Capable of working from an office and home environment as necessary. 
  • Good communication skills, written and verbally, and credible at a senior level internally and externally. 
  • Able to develop and maintain effective working relationships. 
  • Excellent time management and organisational skills for both themselves and others. 
  • Able to work flexibly to deal with changing circumstances, requirements and ambiguity. 
  • Confident manner, capable of exercising good judgement and sensitively dealing with confidential matters. 
  • A valid driving license and the ability to gain and maintain an airside security pass and driving medical are essential.
