HR Coordinator​ - Kuwait

Role Purpose 

The HR Coordinator is responsible for supporting the day-to-day delivery of HR operations within Kuwait, ensuring compliance with local labour law and internal HR policies. The role provides administrative and operational support across the employee lifecycle, including onboarding, documentation management, payroll coordination, visa processing and employee relations support. 

 

The HR Coordinator acts as the first point of contact for HR enquiries in-country and ensures accurate record keeping, timely processing of documentation and effective coordination with internal stakeholders and external authorities. 

Key Accountabilities 

 

HR Administration & Employee Lifecycle 

 

  • Coordinate onboarding and offboarding processes in line with Kuwait Labour Law 

  • Prepare employment contracts, amendments and HR documentation for expatriate personnel 

  • Maintain accurate employee records and HR systems 

  • Track probation periods and contract renewals 

  • Support performance review administration 

 

Recruitment & Graduate Programme Support 

 

  • Coordinate end-to-end recruitment processes for local hires 

  • Draft and post job advertisements in line with approved workforce plans 

  • Screen applications and shortlist candidates in partnership with hiring managers 

  • Schedule interviews and assessment activities 

  • Support preparation of offer letters and employment documentation 

 

Graduate Programme 

 

  • Coordinate annual graduate recruitment campaigns 

  • Liaise with universities and career fairs (where applicable) 

  • Support assessment centres, interviews and evaluation processes 

  • Track candidate progress and maintain assessment records 

  • Assist with onboarding and integration of graduate cohorts 

  • Maintain graduate development tracking documentation 

 

Payroll & Benefits Coordination 

 

  • Liaise with payroll providers to ensure accurate monthly payroll processing 

  • Maintain records of leave, overtime and allowances 

  • Support administration of benefits, medical insurance and social security (if applicable) 

  • Ensure compliance with statutory deductions and reporting requirements 

 

Visa & Government Liaison 

 

  • Coordinate work permits, residency visas and civil ID processes 

  • Liaise with the Public Authority for Manpower and relevant ministries 

  • Maintain labour files and ensure regulatory documentation is current 

  • Track visa renewals and compliance deadlines 

 

Employee Relations Support 

 

  • Act as first point of contact for HR-related queries 

  • Support handling of employee grievances and disciplinary documentation 

  • Ensure HR processes are followed in line with company policy and Kuwait labour regulations 

  • Escalate complex matters to HR Manager  

 

Compliance & Governance 

 

  • Ensure adherence to Kuwait Labour Law and company policies 

  • Support audits and documentation reviews 

  • Maintain confidentiality of employee data 

  • Assist with policy communication and updates 

 

Qualifications, Skills, and Personal Attributes 

 

  • Broad knowledge of HR practices and administrative responsibilities 

  • University degree is highly desirable 

  • Fluent in both English and Arabic 

  • A minimum of 10 years’ HR experience, including recruitment exposure 

  • Experience supporting early-career or graduate hiring (desirable) 

  • Knowledge of Kuwait Labour Law and visa processes 

  • Strong organisational and coordination skills 

  • Ability to manage multiple recruitment processes simultaneously 

  • Fluent in both English and Arabic
