Purpose of the role:
To carry out and manage the end-to-end onboarding process for new hires, ensuring a smooth and efficient transition into the organisation and creating a positive and welcoming experience for new hires. You will maintain strong relationships with internal stakeholders at all levels.
This role will also involve offboarding, ensuring employees feel valued at the end of their employment and ensuring the correct procedures are followed.
Other duties Include:
- Preparation and issuing of offer paperwork via our electronic signature platform DocuSign.
- Create and maintain employee Files within HR SharePoint, ensuring data accuracy and integrity in line with company policy and GDPR principles.
- Utilise SAP SuccessFactors to process new hires. All data entered must be accurate, correct, timely, and compliant with internal HR and payroll requirements, also undertake salary and data entry audit checks to ensure the execution of pay changes are reflected in line with policy.
- Oversee and track end-to-end onboarding process for all new hires, including reference checks via external partners, ensuring prompt escalation of compliance concerns to the Onboarding Manager if required.
- Liaise with internal security and medical teams to ensure all pre-employment checks are completed prior to start date.
- Manage the offboarding process for all leavers. Ensure all relevant documentation is issued promptly and ensuring a smooth and compliant exit process.
- Act as a key advocate for our Onboarding Module in SuccessFactors, supporting its implementation and maintaining up-to-date knowledge of the system. Provide guidance and training to all employees to ensure effective use of the platform.
- Collaborate with the Onboarding Manager to continuously review and enhance onboarding and offboarding processes, and best practice.
- Support external audits, which may need detailed explanations of procedures to demonstrate compliance. Take ownership of implementing necessary updates or improvements, to ensure NATS meet regulatory compliance and standards.
- Able to deputise for the Onboarding Manager when absent.
Qualifications, skills, experience, and personal qualities required:
- Broad knowledge of HR policies and procedures is required, coupled with previous experience of working in an HR function.
- A formal qualification in HR is desirable, or the willingness to study towards an HR CIPD Apprenticeship or related professional qualification.
- Excellent communication skills: both verbal and written, with the ability to interact effectively with diverse individuals. It is essential to be able to exercise duties with the highest level of discretion and confidentiality.
- Strong organisation and time management skills: ability to manage multiple tasks, prioritise own workload effectively to ensure all deadlines are met.
- Proficiency in HR systems: experience with HR systems, and other relevant tools, SuccessFactors experience would be advantageous, however training will be provided.
- Customer service skills: provide a positive and supportive experience for new hires and leavers and give confidence to managers.
- Problem solving skills: able to identify and resolve issues related to onboarding / offboarding and be able to escalate accordingly, also, analyse existing processes and suggest improvements where necessary.
- Adaptability: able to adjust to changing priorities and work effectively in a fast-paced environment.
- Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Able to demonstrate and display effective teamwork and have a natural drive for helping others. You will be approachable, adaptable and open to change, a team player who can also work independently and have a high level of integrity and professionalism.
