Job Purpose/Overview
To provide comprehensive, consistent, and efficient support to department and projects within Technical Services to ensure the successful achievement of company and departmental business objectives following agreed processes and workflow.

ACCOUNTABILITIES
The post holder will provide high-quality administrative support across the Technical Services Directorate, ensuring that processes are followed, information is accurate and accessible, and stakeholders are well-supported. Tasks and responsibilities may vary and will be directed by the line manager.
ADMINISTRATION SUPPORT SERVICES
To provide a confidential and proactive PA & Management Support to the Director, their Leadership Team and wider business area. This includes diary management, co-ordinating key management meetings (including European forums) & event planning, working with both internal and external stakeholders from other ANSPs/organisations, collation of various management information.
Provide effective administration support to areas within the directorate, including but not limited to maintaining contract information, supporting the renewal of contracts and appropriate charging for invoices. Flexible in providing cover for team members to ensure a consistent service to our customers.
Working for a variety of Stakeholders to support their teams using bespoke software relevant to the area. Including but not limited to Office 365 suite, Ariba, QPulse, ServiceNow, SAP.
The role requires arranging purchasing of equipment and services either through the ARIBA purchasing tool or via a personally appointed purchase card and then ensuring the costs are appropriately appointed to the right business area(s).
Supporting NATS with timesheet support ensuring an efficient recording of time, to ensure the business can capture costs correctly.
Ensuring best practice documents are easy to use and kept up to date to ensure continuation of service.
Essential Skills and Experience
- Minimum GCSEs in Maths and English
- Excellent knowledge of IT applications – Office 365, SharePoint etc.
- Good knowledge of NATS and its procedures is desirable.
- Knowledge (or ability to learn) of Supply Chain Management procurement tools (ARIBA)
- Knowledge (or ability to learn) of SAP functionality
- Self-motivated with excellent attention to detail and an ability to follow well defined processes.
- Ability to prioritise tasks according to business needs.
- The individual will be held in high regard by colleagues, noted for her/his credibility.
- Must be able to work to strict timescales and adapt quickly and easily to changes in tasks.
- Must have excellent interpersonal and communication skills and be able to work both autonomously and as part of a team, sharing knowledge and resolving issues as a team.
- Must be able to clearly articulate messages to a variety of audiences but understand the importance of listening and seeking feedback.
- Excellent networking skills to establish key contacts around the organisation, valuing them and using them effectively to foster enduring relationships.
- Confident manner, capable of exercising good judgement and sensitively dealing with confidential matters.
- Training will be provided.
